How do I set up different profiles for a “group” managing a mailbox?

Once the mailbox has been activated, log into the mailbox and then go to “Settings”

Then Choose “Identities”

The click the “+” icon to create a new identity profile by completing the following fields:

Display name

The full name you want displayed to the recipient when this profile sends out a message.


Please enter a valid Direct address for the sender. Otherwise the message sending might fail because of an invalid sender address.

Hint: The Email field might not be visible or editable. This is no malfunction but a restriction set by the server administrator.


List the name of the name of the Organization if you would like.  Keep in mind that some email programs do display the organization field when receiving messages even if you choose to add it to the profile so the recipient might not see this.


Enter a Direct address here ONLY IF you want to force recipients to send answers to that address instead of the sender email address.


Specify an Direct address here that will receive blind copies of every message you send with this identity.

Set default

Check this box to make the current identity the default selection when writing new messages. You can still chose another sender identity while composing a message, though.


Every sender identity can have its own signature text which will be opened to the message text when you start writing a new email message. You can go to Settings > Preferences > Composing Messages to configure when and how signatures are inserted or search Signatures from the main Help page for more information.


Enter the actual signature text here.

HTML signature

Check this option if you mainly send formatted (HTML) messages and to enable formatting of your signature. The text box above will then show a toolbar to adjust formatting.

The Delete button also located in the identities list footer will delete the currently selected identity after displaying a confirmation dialog.

You may want to set up notifications to go to each person who is monitoring the mailbox.  You can set these up by going to Settings > Notifications or search Notifications from the Help page for more information.
